Privacy Policy
Last updated: July 12, 2026
This Privacy Policy explains how The Writers Share ("we," "us," or "our") collects, uses, shares, and protects personal information when you visit https://thewritersshare.com, create an account, purchase a course, or communicate with us. By using our services you agree to the practices described here.
1. Information We Collect
Information you provide directly. When you create an account, purchase a plan, subscribe to our newsletter, or contact support, we collect your name, email address, billing information, and any messages you send us.
Publishing profile & dashboard content. When you use the member dashboard (the Royalty Command Center), we store the information you enter: your display/artist name, avatar, links, PRO affiliations and IPI/CAE numbers, publisher details, registered songs, royalty entries, and the split sheets you create — including collaborator names, ownership percentages, roles, PRO/IPI data, any AI-material disclosures, uploaded signed documents, and the e-signatures (typed name and timestamp) collected when a shared split sheet is signed. If you invite teammates to a Label plan, we store the invitee email addresses you enter.
Payment information. Payments are processed by third-party payment processors (such as Stripe or PayPal). We never receive or store your full card number — we receive only a transaction identifier, the payment method's last four digits, and billing status.
Information collected automatically. Like most websites, we collect device and usage data: IP address, browser type, operating system, pages visited, referring URLs, and course progress. This is collected through cookies and similar technologies described in Section 4.
2. How We Use Your Information
- Provide, operate, and maintain the course platform and your account
- Process purchases, send receipts, and handle billing and cancellations
- Deliver course updates, templates, and content you purchased
- Send marketing emails you opted into (you can unsubscribe anytime)
- Respond to support requests and enforce our Terms of Service
- Analyze aggregate usage to improve curriculum and site performance
- Detect, prevent, and address fraud, abuse, or security incidents
- Comply with legal obligations, including tax and accounting requirements
3. How We Share Information
We do not sell your personal information. We share it only with:
- Other members (only at your direction) — if you opt in to the collaborator directory, or share a split sheet with a collaborator, or invite a teammate to a Label plan, the relevant details become visible to those members as described in the "Collaborator Directory & Member Sharing" section below. This sharing is off by default for sheets and invites, and opt-in for the directory
- Service providers — payment processors, email delivery services, hosting providers, and analytics vendors who process data on our behalf under contractual confidentiality obligations
- Advertising partners — on free and public pages we work with Google AdSense and its advertising partners, who may receive cookie identifiers and usage data to select and measure ads, as described in Section 4
- Legal authorities — when required by law, subpoena, or to protect our rights, users, or the public
- Business transfers — if we merge, are acquired, or sell assets, your information may transfer as part of that transaction with notice to you
4. Collaborator Directory & Member Sharing
Collaborator directory. The directory is opt-in. If you enable "List me in the collaborator directory" (from onboarding or your Profile), other signed-in members can find you by searching your name, username, publisher, or IPI, and can add you to their split sheets. Only these fields are shown to other members: your display name, username, PRO affiliations, IPI/CAE numbers, publisher name, and avatar. Your email address is never displayed — it is stored only as a one-way hash so a member who already knows your exact email can find you; the hash cannot be reversed to reveal your address. We never expose your billing, plan, password, or private dashboard data through the directory. You can turn discoverability off at any time in your Profile, which removes your directory entry.
Shared split sheets. When you share a split sheet with another member to review or sign, that member can view the sheet's contents (song details, collaborators, ownership percentages, and PRO/IPI data on it) and add their e-signature (typed name and timestamp). Sharing is off unless you initiate it, and the sheet's owner controls who it is shared with.
Label team seats. If you accept an invitation to a Label plan, the plan owner can see that you joined, along with your display name and username, in their team roster. If you invite teammates, the emails you enter are stored to deliver and match those invitations.
5. Cookies & Analytics
We use essential cookies (login sessions, cart state) and analytics cookies (page views, feature usage) to run and improve the site. Analytics data is aggregated and does not identify you personally.
Advertising. Free and public pages on The Writers Share display ads served through Google AdSense. Google and its advertising partners use cookies and similar technologies to serve ads, including based on your prior visits to this and other websites. You can opt out of personalized advertising at Ads Settings or aboutads.info. If you're visiting from the EEA or UK, we show a consent banner powered by a Google-certified Consent Management Platform (CMP) and do not set advertising cookies until you provide consent. Pro and Label & Teams subscribers do not see ads and are not served advertising cookies.
You can control cookies through your browser settings. Disabling essential cookies may prevent login and checkout from functioning. Where required by law, we present a consent banner before setting non-essential cookies.
6. Data Retention
We keep account data for as long as your account exists, and purchase records for as long as required by tax and accounting law (typically 7 years). Newsletter data is kept until you unsubscribe. You may request deletion of your account at any time (Section 7); we will delete or anonymize your data except where retention is legally required.
7. Security
We use industry-standard safeguards: encryption in transit (TLS), encrypted storage for credentials, access controls, and least-privilege practices for staff and contractors. No method of transmission or storage is 100% secure — if we learn of a breach affecting your personal information, we will notify you and the relevant authorities as required by applicable law.
8. Your Rights (GDPR / CCPA)
Depending on your jurisdiction, you have the right to:
- Access a copy of the personal information we hold about you
- Correct inaccurate information
- Delete your information ("right to be forgotten")
- Export your data in a portable format
- Object to or restrict certain processing, including marketing
- Opt out of any "sale" or "sharing" of personal information as defined by the CCPA (we do not sell personal information)
- Lodge a complaint with your local data protection authority
To exercise any of these rights, email privacy@thewritersshare.com. We respond within 30 days.
9. Children's Privacy
Our services are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it promptly.
10. International Transfers
We are based in the United States, and your information is processed on U.S. servers. Where we transfer data from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as Standard Contractual Clauses with our processors.
11. Changes & Contact
We may update this policy as our services or the law change. Material changes will be announced by email or a prominent site notice at least 14 days before taking effect. The "Last updated" date above always reflects the current version.
